Reports to: Day to day the role reports to the Co-leads, Climate Story Unit and the Film Officer at the Democracy Story Unit. All roles report to Doc Society Co-Executive Directors.
Location: While Doc Society is remote first, we have a preference for candidates who can regularly commute to London or New York City.

Main Purpose
The Grants Coordinator is a support role assisting the day-to-day running of our grantee programmes across the Climate Story Unit and Democracy Story Unit. You will be the first point of contact for filmmakers and storytellers, keep our administrative processes on track, and work closely with Fund Officers and other colleagues to ensure our grantees are well supported throughout their projects.
This role is well suited to someone who is organised, loves communicating, takes real satisfaction in getting the details right and has an appreciation for the transformative role of arts in society.
Core Responsibilities
- Handle filmmaker and grantee enquiries and outreach on Doc Society’s general email inboxes.
- Ensure the smooth running of administrative processes, including contracting with new grantees and securing deliverables, in collaboration with Fund Officers and Business Affairs colleagues, and managing databases.
- Work closely with Fund Officers to capture and track production, distribution, and evaluation updates across active programmes and grantees.
- Manage the online application system, maintaining accuracy and efficiency throughout the selection cycle, and coordinate grant decision-making meetings.
- Contribute to the preparation of data for key partners communications and annual reports.
- Coordinate grantee announcements and Fund communications with the Engagement Manager.
- Work with Doc Society’s Creative Director and other colleagues to maintain CSU & DSU webpages ensuring information is up to date.
- Support additional programmes across the Climate Story Unit and Democracy Story Unit as needed.
Terms
- Optional office working at our London based office (if in UK; United Kingdom work authorisation required) or at our office in New York (United States work authorisation required).
- 28 days including bank holidays
- Employer pension contribution after the 3 months probationary period.
Essential Skills & Experience
- Excellent attention to detail: you catch things others miss and take pride in accuracy.
- A love of communicating and coordinating: you enjoy keeping people informed, following up, and making processes run smoothly.
- Good organisational skills with the ability to juggle multiple tasks and deadlines.
- Comfortable with digital tools and administrative systems: such as G-Suite, CRM (i.e. Beacon), CMS (i.e. Wagtail) and online databases tools (i.e Airtable).
- A reliable, proactive approach: you follow through on tasks autonomy.
- Fluency in written and spoken English is a must; Portuguese and/or French are a plus.
- A positive and collaborative attitude as well as enthusiasm for working within a small, distributed, mission-driven team.
- Prior knowledge of the film or documentary industry is required.
Salary
This is a full time position. Salary is competitive and dependent on experience and location. We benchmark compensation against local market rates in New York and London.
